The reason we chose OfficeTools is because we were unhappy with our old software, started looking around, and tried one of their competitors first, but we didn’t get what we were promised and so on, so we switched. OfficeTools has been working great! Our Project Management is doing all of our case-tracking for tax problem/resolution cases now, and of course we do our billing, scheduling and everything else in OfficeTools, like you would expect. It also tracks projects for us so well that we can do all of our case tracking and deadline setting in it.
Before, we used Time Slips for Time and Billing, and we used File In Time to keep track of the projects, and when we looked at OfficeTools, it basically combined both of them. If we can get rid of redundant systems, that’s the way to do it… My favorite feature is the billing. It’s so easy!
It’s going to be so much better for our office, we’re going to be working more efficiently, and I’m excited because that’s one of the areas where we’re struggling… This system is going to keep us on-task, and will be able to make me more efficient as a manager – ensuring I’ll know where everybody is and where the clients stand, so that I can be more responsive to my clients… There are seven of us in the office, and everyone has been incredibly responsive. We decided that we just needed something that was all-in-one… We wanted to get our CRM and our Documents all in one place. We gave you guys a try, and so far we’re very satisfied. It’s very easy to keep track of what you have to do. The staff knows what to do,and all the partners and managers can see who’s busy and who’s not.
The biggest benefit to us was getting rid of our old time-keeping system, Time Slips. We used it for 25 years and were so glad to get rid of it. It was a very natural, easy change. We simply set up OfficeTools to use the same steps that we had been doing manually. We’re totally paperless now. We use Practice Management all day long.

Practice Management paid for itself in the first two and one-half months because I was tracking all of my time. Everybody in the office tracks all of their time. I am very thankful that I spent the money, because in hindsight, it didn’t cost a lot. Having everything implemented made me money, and makes me money in the long run. Pay for training so that you can implement not just one portion of Practice Management, but everything.
I found OfficeTools to be very intuitive and flexible for clients and staff. When I started, I was handed the User Guide, and told to ‘see what you think, if you have any questions then ask.’ I found that I didn’t have many questions. Technical Support was very helpful. I bought an hour of training and it has been terrific. Projects have saved me seven miles a day hunting down files, trying to figure out who had what and what process it was in. When clients ask ‘when is my return ready’, it’s just a mouse action to get them the information, it is really wonderful.
It has changed our firm, it is just wonderful. Being able to know in the process where we are with tax returns, find the files, have good metrics about where we’re spending our time, and overall managing our practice has made a huge impact. We’re just thrilled
With eight different users at our office, Practice Management it is extremely beneficial with contact management. We take pictures of all of our clients, and we’re able to follow up on key deadlines, so it is making us more effective and efficient.
